- Oversee the day-to-day operations and maintenance of all building systems, including Mechanical & Electrical (M&E), HVAC, plumbing, lighting, and fire protection systems. - Conduct regular facilities inspections and walk-throughs to identify maintenance needs, safety hazards, and areas for improvement. -Plan, schedule, and supervise all preventive and corrective maintenance activities. - Coordinate breakdown responses and track progress to closure to ensure minimal business disruption. - Manage office services such as cleaning, pest control, waste management, and landscaping contractors to ensure high standards of cleanliness and upkeep. - Administer and manage the office access control and security systems (e.g., CCTV, badge access) and liaise with outsourced security vendors. - Ensure full compliance with all relevant Singapore government regulations and statutory requirements, including but not limited to: - Workplace Safety and Health (WSH) Act. - Building and Construction Authority (BCA) requirements. - Singapore Civil Defence Force (SCDF) Fire Safety regulations. - Assist in preparing documentation and coordinating mandatory inspections (e.g., Fire Safety Certificate renewal, lift/escalator maintenance, structural inspections). - Develop, implement, and lead the building's emergency response and business continuity plans, including coordinating regular fire and evacuation drills. - Source, evaluate, and manage a portfolio of external contractors and service providers (e.g., Integrated Facilities Management (IFM), M&E, cleaning, security). - Negotiate contracts, monitor Service Level Agreements (SLAs), and track vendor performance to ensure cost-efficiency and quality service delivery. - Handle the creation of Purchase Orders (POs), goods receipt, and process invoices in collaboration with the Finance team. - Serve as the primary point of contact for staff for all facilities-related issues and service requests, ensuring prompt and professional resolution. - Manage space planning, office moves (churn), and logistical support for new hires and departmental relocations. - Assist in managing minor A&A (Addition & Alteration) works, renovations, and improvement projects, including tracking work progress and quality. - Provide facilities and logistical support for internal corporate events, town halls, and VIP visits. - Support the Facilities Manager in preparing the annual operating and capital expenditure (OPEX/CAPEX) budgets. - Monitor and track facilities-related expenses to ensure adherence to the approved budget and assist in cost-saving initiatives. - Prepare and present monthly facilities reports on key performance indicators (KPIs), energy consumption, maintenance status, and expenditure.
- Minimum Diploma or Degree in Facilities Management, Building Services, Mechanical/Electrical Engineering, Real Estate, or a related discipline. - Minimum of 2-3 years of proven experience in facilities management, preferably within a commercial office, corporate headquarters, or similar environment in Singapore. - Strong understanding and hands-on experience with M&E systems (HVAC, fire protection, electrical systems). - Good working knowledge of Singapore's key building and safety regulations (e.g., BCA, SCDF, WSH Act).
