Responsibilities: · Prepare quotations for clients and obtain the necessary approvals for orders. · Raise Purchase Requisitions (PR) to vendors/suppliers using the Esker system. · Ensure Purchase Orders (POs) are received prior to the commencement of work. · Follow up with vendors and site operations teams on job progress and completion. · Obtain signed and endorsed Completion of Work (COW) documents from clients. · Consolidate vendor quotations, Purchase Orders, Delivery Orders, service reports, SES approvals, and Completion of Work (COW) for billing purposes. · Update weekly work progress in the summary report. · Follow up on finance-related matters during the monthly closing period. · Coordinate and place orders for PPE items with vendors. · Support Receptionist/Concierge duties when required to provide coverage for other site accounts. · Undertake additional duties or projects as assigned by the supervisor.

Job Requirements

NITEC / Diploma in Business Administration or equivalent, with a minimum of 3 years of relevant experience · Strong organizational and administrative skills · High attention to detail and accuracy · Ability to work independently with minimal supervision · Proficient in Microsoft Office (Excel, Word, PowerPoint) · Willing to travel to different sites on planned or short-notice schedules · Able to work under time pressure and tight deadlines · Willing to learn and adapt to operational needs · Prior experience in the Facilities Management (FM) industry will be an added advantage
